First decision

Work out what kind of help you actually need.

Most bad hires happen because the buyer described the solution rather than the problem. "I need a macro" is a solution. "Three people spend a day a month assembling this report and it is wrong about twice a year" is a problem — and it might be solved by a macro, a restructure, a Power Query import or a conversation about process. Describe the second thing and let the specialist propose the first.

Match the engagement to the risk

Which kind of expert to hire.

Use the smallest engagement that can safely deliver the outcome.

Write a better brief

Five things that make a quote accurate.

You do not need a requirements document. You need to answer five questions, and a good specialist will ask them anyway.

  1. 01

    What decision does this support?

If the answer is "none, we just always produce it", that is worth knowing before building anything.

  2. 02

Where does the data come from?

Which systems, in what format, how often, and how much manual reshaping happens today.

  3. 03

    Who edits it?

One person or fifteen. This single answer changes the whole design.

  4. 04

What is the cost of being wrong?

An internal planning sheet and a regulatory return need very different levels of control.

  5. 05

    Who owns it afterwards?

If nobody can name the owner, the handover will fail regardless of how good the build is.

Warning signs

Things worth asking about.

A supplier who will not hand over unlocked files or commented code is creating a dependency, not delivering a system. A quote given without any questions is a guess. Password-protected VBA projects, hard-coded licence checks and "we host it for you" arrangements on what should be a plain workbook all deserve a direct question about what happens if you stop working together.

And a local address on a website is worth verifying. Plenty of remote suppliers list city offices they do not have. There is nothing wrong with hiring remotely — there is something wrong with not being told.

Questions

Hiring an Excel expert.

The practical questions, answered without a sales pitch.

Ask us something else
Where can I find an Excel expert?

Start with the work you need: formulas, VBA automation, dashboards, data cleaning or financial models. Our remote specialists review your brief, recommend the right skill and agree the scope and estimate before work starts. You can hire for a one-off task or ongoing spreadsheet support.

How do I know if an Excel expert is any good?

Ask them to explain how they would approach your specific problem before you hire them. A capable specialist will ask what decision the file supports and who else edits it. Someone who quotes a price without asking anything is guessing. Also ask what they will hand over — if the answer does not include documentation and unlocked files, keep looking.

Should I hire an Excel freelancer or a consultant?

A freelancer for a contained, well-specified task where you can judge the output yourself. A consultant when the workbook affects a recurring decision, several people edit it, or the cost of it being subtly wrong is high. The distinction is about risk, not complexity.

How much should hiring an Excel expert cost?

Rates vary enormously by geography — a London or New York consultancy might charge several times what a remote specialist does for the same output. What matters more than the headline rate is whether you get an estimate in hours before starting and a promise to stop and ask before exceeding it. An hourly rate without those two things is an open cheque.

What should I prepare before the first conversation?

The current workbook, or a screen recording of the problem if the file is sensitive. Beyond that: what decision the file supports, who edits it, how often it updates, and what goes wrong. You do not need a requirements document.

What if I am not sure Excel is the right tool?

Say so — it is a good question and the answer is often no. We regularly tell prospective clients that their problem needs a database, a proper application, or a process change rather than a better spreadsheet. It loses us work and it is still the right advice.
