The local picture

What the spreadsheet problem looks like in Sydney.

Two Sydney sectors generate most of our Australian work. Construction and infrastructure firms need project cost reporting that ties committed spend to progress claims across long-running jobs. Care providers under the NDIS need claiming and rostering data reconciled against what was actually delivered — a reconciliation problem with a compliance edge, where an error is not just a reporting inconvenience.

What we get hired for here

The recurring Sydney engagement.

The construction engagement is usually about the gap between the project manager's view and the finance view. The PM knows what has been committed and roughly where the job stands; finance knows what has been invoiced. Neither number is wrong and they never match, so the monthly report becomes a negotiation. We build the reconciliation explicitly — committed, accrued, invoiced, claimed — as four visible columns rather than one contested figure, which usually ends the argument by making it unnecessary.

01

Project cost that finance and PMs dispute

Separate committed, accrued, invoiced and claimed into visible columns so the monthly meeting starts from a shared picture instead of a disagreement.

02

Progress claims and retention tracking

Track claims, approvals, retention and variations across long-running jobs without rebuilding the schedule each month.

03

NDIS claiming reconciliation

Reconcile rostered, delivered and claimed service data so discrepancies surface before a claim is submitted rather than after a review.

WHAT YOU END UP WITHA project cost model with committed and accrued visibility, a progress-claim and retention tracker, or a service-delivery reconciliation built for pre-submission checking.

Typical source data for Sydney clients: Xero or MYOB exports, Procore or Aconex project data, subcontractor claims and payment schedules, rostering system extracts, and the NDIS portal claim files.

An illustrative scenario

A project cost report that finance and delivery could not agree on

A composite example built to show method, not a specific client engagement. No client is identified and no outcome is guaranteed.

  1. 01

Finance reported invoiced cost. The PM reported committed cost. The monthly meeting spent its first half reconciling the difference verbally.

  2. 02

We build one project cost sheet with committed, accrued, invoiced and claimed as separate columns, each with its own source.

  3. 03

Variance between them becomes an explicit output — the gap is now information about timing, not evidence that someone is wrong.

  4. 04

Retention and approved variations get tracked in the same structure, so the forecast final cost updates from data rather than from a conversation.

Working together across time zones

How the Australian Eastern Time (AEST/AEDT) difference actually plays out.

AET is 4.5 to 5.5 hours ahead of IST. Your afternoon is our morning, so we hold calls from 13:00 AET and work through what your team leaves at the end of their day.

For a first conversation, the most useful thing to send is which two numbers your teams argue about each month, and where each one comes from. You do not need a requirements document, and if the file is sensitive a screen recording works just as well.

01

Send it over

Questions

Hiring an Excel expert in Sydney.

Answers written for this city, including the ones that might cost us the job.

Ask us something else
Is there an Excel expert near me in Sydney, or are you overseas?

We are based in India and have no Australian office, which we would rather tell you now. The time overlap works well — your afternoon is our morning — and Australian clients generally find the arrangement straightforward. If you need someone on site in the CBD, that is a local hire.

Where is our data stored if you are offshore?

Wherever you choose. We work in your SharePoint, Google Drive or Dropbox rather than holding copies, and for sensitive engagements we work from anonymised data. If you have data residency requirements under Australian Privacy Principles, tell us at the start and we will structure the engagement around them or tell you it is not a fit.

Can you work with Procore or Aconex data?

We work from the exports rather than integrating directly. For most project cost reporting that is sufficient and avoids a systems project.

Do you understand NDIS claiming rules?

We understand the reconciliation problem — matching rostered, delivered and claimed service data and finding the discrepancies. We do not advise on price guide interpretation or compliance obligations; that has to come from your quality team or an NDIS consultant.

Do you invoice in AUD?

Yes, we can invoice in AUD. Note we are not GST-registered in Australia, so our invoices do not include Australian GST — worth checking with your accountant on how that sits for your reverse-charge treatment.

Local or remote

When a Sydney hire beats us.

There are good reasons to hire someone in Sydney, and we would rather set them out than pretend otherwise.

Hire locally in Sydney when

  • Someone can be in the room

For a workshop, a training session, or a discovery process across several departments, physical presence genuinely helps. We work well over a call, but we will not pretend it is identical.

  • Procurement is simpler

A local entity, local invoicing, local contract law. For some organisations — public sector especially — that is not negotiable, and no amount of rate advantage changes it.

  • Same working day

If a file breaks at 10am and must work by 2pm, somebody in your time zone will usually beat somebody in ours. Our overnight turnaround is an advantage for planned work and a disadvantage for emergencies.

Remote usually wins on

  • You may not meet the builder

At a consultancy the person who sells the work and the person who writes it are often different people. Here they are the same person, and you have their name.

  • Depth versus proximity

One local generalist covers whatever they happen to know. A small specialist team covers modelling, VBA, BI and Sheets properly. Which matters more depends entirely on what your file needs.

  • The rate difference is large

A local contractor in a major city typically charges several times a remote specialist's hourly rate for output a reviewer could not tell apart. That difference is the whole reason remote delivery exists.
